This Privacy Notice for Role Radar LLC ("we," "us," or "our"), describes how and why we might access, collect, store, use, and/or share ("process") your personal information when you use our services ("Services"), including when you:

  • Visit our website at https://www.role-radar.com or any website of ours that links to this Privacy Notice
  • Use RoleRadar, a software platform that scores job listings against your resume and preferences and generates scouting reports
  • Engage with us in other related ways, including any marketing or events

Do we process sensitive personal information? Payment information is processed by Stripe when paid features are available. We do not actively collect or solicit sensitive personal information such as race, ethnicity, religion, political opinions, trade union membership, sexual orientation, or health data. However, resumes and employment history you upload may contain information that implicitly reveals such categories (e.g., employer names, affiliations, volunteer activities). We do not extract, categorize, or process this information as sensitive data — it is stored only as part of your resume text.

Do we collect information from third parties? No. We do not purchase or obtain your personal information from data brokers, marketing partners, or social media platforms.

How do we process your information? To provide the Services (scoring jobs, generating scouting reports, tracking applications), communicate with you, ensure security, and comply with law.

Do we share your personal information? We may share information with service providers who help us operate the Services, including hosting, database, analytics, payment processing, advertising, and marketing partners. We do not sell your personal information. See Section 4 for details.

What are your rights? Depending on your location, you may have rights to access, correct, delete, or port your personal information.

1. What Information Do We Collect?

Personal information you disclose to us

In Short: We collect personal information that you provide to us.

We collect personal information that you voluntarily provide when you register, upload your resume, set job preferences, or contact us. This may include:

  • Names
  • Email addresses
  • Usernames and passwords
  • Resumes and employment history
  • Job preferences (role types, salary range, locations, company preferences)
  • Profile photos

Payment Data. When paid features are available, payment data will be handled by Stripe. We do not store credit card numbers on our servers. See https://stripe.com/privacy.

Social Media Login Data. We may provide you with the option to register with us using your existing social media account details, such as your LinkedIn, Google, or other social media account. If you choose to register in this way, we will collect certain profile information about you from the social media provider, as described in Section 8 below.

All personal information you provide must be true, complete, and accurate.

Information automatically collected

In Short: Some information — such as your IP address and browser characteristics — is collected automatically.

We automatically collect device and usage information when you visit the Services, including your IP address, browser type, operating system, language preferences, referring URLs, country, and how you use our Services. This is primarily needed for security, operation, and internal analytics.

We collect information through cookies and similar technologies. See our Cookie Notice for details.

The information we collect includes:

  • Log and Usage Data: IP address, browser type, pages viewed, actions taken, timestamps.
  • Device Data: Device type, operating system, browser type.
  • Location Data: Approximate location based on IP address. We do not collect precise GPS location.

2. How Do We Process Your Information?

In Short: We process your information to provide, improve, and administer our Services, communicate with you, for security, and to comply with law.

We process your personal information for the following purposes:

  • To facilitate account creation, authentication, and account management.
  • To deliver the Services: scoring job listings against your profile, generating scouting reports, and providing application tracking.
  • To respond to user inquiries and offer support.
  • To send administrative information (changes to terms, policies, etc.).
  • To fulfill and manage subscriptions when paid features are available.
  • To request feedback about your use of our Services.
  • To send marketing communications (with your consent; opt out at any time).
  • To protect our Services, including fraud monitoring and prevention.
  • To identify usage trends and improve the Services.

3. What Legal Bases Do We Rely On?

In Short: We only process your personal information when we have a valid legal reason.

EU / UK residents

Under the GDPR, we rely on:

  • Performance of a Contract: When necessary to fulfill our obligations to you, including providing the Services.

Canadian residents

We process your information with your express or implied consent. You can withdraw consent at any time.

US residents

We process your information based on our contractual relationship, legitimate business interests, your consent, and/or compliance with legal obligations.

We may share your data with third-party vendors, service providers, contractors, or agents ("third parties") who perform services for us or on our behalf and require access to such information. 6. Do We Use Cookies and Other Tracking Technologies?

In Short: We may use cookies and other tracking technologies to collect and store your information.

We may use cookies and similar tracking technologies (like web beacons and pixels) to gather information when you interact with our Services. We use the following categories of cookies:

  • Essential Cookies: Required for the Services to function (authentication, session management, CSRF protection). Cannot be disabled.
  • Analytics and Customization Cookies: We use PostHog and may use Google Analytics to understand how visitors use the Services and to customize your experience.
  • Advertising and Marketing Cookies: We may use targeting cookies, marketing cookies, and social media cookies to deliver relevant advertisements and measure campaign effectiveness.
  • Consent Management: Termly to manage your cookie preferences and display the consent banner.

Google Analytics. We may share your information with Google Analytics to track and analyze the use of the Services. To opt out, visit https://tools.google.com/dlpage/gaoptout.

7. How Does Our Platform Process Your Data?

In Short: RoleRadar processes your resume and preferences on our servers. No user data is sent to third-party AI services.

RoleRadar processes your resume and preferences to score job listings and generate scouting reports. This processing occurs entirely on our servers. Key points:

  • Your data is not sent to any third-party AI service providers (such as OpenAI, Anthropic, Google, or others) for processing.
  • No machine learning models are trained on your personal data.
  • Your resume text is stored in our database (Supabase), processed server-side, and is never shared with or accessible to other users.
  • You may delete your resume and all associated data at any time through your account settings.

8. How Do We Handle Your Social Logins?

In Short: If you choose to register or log in to our Services using a social media account, we may have access to certain information about you.

Our Services may offer you the ability to register and log in using your third-party social media account details (like your LinkedIn or Google account). The profile information we receive may vary but will often include your name, email address, and profile picture. We will use the information we receive only for the purposes described in this Privacy Notice.

9. How Long Do We Keep Your Information?

In Short: We keep your information for as long as necessary to provide the Services unless otherwise required by law.

We keep your personal information only as long as necessary for the purposes in this Privacy Notice, unless a longer period is required by law. No purpose requires keeping your information longer than the period you have an account with us.

When we have no ongoing need to process your information, we will delete or anonymize it. If not immediately possible (e.g., backup archives), we will securely store and isolate it until deletion is possible.

10. How Do We Keep Your Information Safe?

In Short: We implement appropriate technical and organizational security measures.

Our security measures include: encrypted data transmission (HTTPS/TLS), secure authentication via Supabase Auth, file upload validation with magic byte checking, Content Security Policy headers via Flask-Talisman, rate limiting, and audit logging of security-relevant events.

However, no electronic transmission over the Internet or information storage technology can be guaranteed to be 100% secure. We cannot promise or guarantee that unauthorized third parties will not be able to defeat our security. Transmission of personal information to and from our Services is at your own risk.

In the event of a data breach affecting your personal information, we will notify you in accordance with applicable law. We will make reasonable efforts to notify affected users within 72 hours of confirming a breach via the email address associated with your account.

11. Do We Collect Information from Minors?

In Short: We do not knowingly collect data from or market to children under 18.

We do not knowingly collect, solicit data from, or market to children under 18, nor do we knowingly sell such personal information. By using the Services, you represent that you are at least 18. If we learn that information from users under 18 has been collected, we will deactivate the account and promptly delete such data. 12. What Are Your Privacy Rights?

In Short: Depending on your location, you may have rights to access, correct, delete, or port your personal information.

In some regions (EEA, UK, Switzerland, Canada), you have certain rights under applicable data protection laws, including:

  • Request access to and obtain a copy of your personal information
  • Request rectification or erasure
  • Restrict processing
  • Data portability (where applicable)
  • Object to processing
  • Not be subject to solely automated decision-making

Withdrawing your consent: If we rely on your consent to process your information, you can withdraw it at any time by contacting us at Legal@role-radar.com.

Account Information: You can review or change your account information or terminate your account through your account settings or by contacting us.

Opting out of marketing: Unsubscribe from marketing emails by clicking the unsubscribe link or contacting us.

13. Controls for Do-Not-Track Features

We do not currently respond to DNT browser signals as no uniform standard has been finalized.

We do recognize and honor Global Privacy Control (GPC) signals. If your browser supports GPC, we will treat this as a valid opt-out request under applicable state privacy laws, including the CCPA. For more information, visit globalprivacycontrol.org.

14. Do United States Residents Have Specific Privacy Rights?

In Short: Residents of certain US states may have specific rights regarding their personal information.

If you are a resident of California, Colorado, Connecticut, Delaware, Florida, Indiana, Iowa, Kentucky, Maryland, Minnesota, Montana, Nebraska, New Hampshire, New Jersey, Oregon, Rhode Island, Tennessee, Texas, Utah, or Virginia, you may have rights including:

Categories of Personal Information We Collect

  • Identifiers: Name, email address, username, IP address
  • Personal information per California Customer Records statute: Name, email, employment history
  • Internet or similar network activity: Browsing history, search history, interactions with our Services
  • Geolocation data: Approximate device location based on IP
  • Professional or employment-related information: Resume content, job titles, work history
  • Inferences: Job match scores and scouting report data derived from your resume and preferences

We do NOT actively collect: biometric information, audio/visual recordings, or commercial/transaction information (beyond subscription billing when applicable). Note: Resumes you upload may contain information that could be associated with protected classification characteristics. We do not extract, categorize, or use this information for any purpose other than matching job listings against your stated skills and experience.

How to Exercise Your Rights: Contact us at Legal@role-radar.com or submit a data subject access request. We will honor GPC opt-out signals.

Appeals: If we decline your request, you may appeal by emailing Legal@role-radar.com. If your appeal is denied, you may submit a complaint to your state attorney general.

California "Shine The Light" Law: We do not disclose personal information to third parties for direct marketing purposes.

15. Do We Make Updates to This Notice?

In Short: Yes, we will update this notice as necessary to stay compliant with relevant laws.

We may update this Privacy Notice from time to time. The updated version will be indicated by an updated "Revised" date at the top. If we make material changes, we may notify you by prominently posting a notice or sending you a notification.
